Utility Mapping (Aust) Pty Ltd and UM Products Pty Ltd (together Utility Mapping, we, us) is subject to the Privacy Act 1988 (Cth) (the Privacy Act) which includes the Australian Privacy Principles (APPs).
The APPs govern the way in which Utility Mapping must collect, use, disclose, store, secure and dispose of your Personal Information. Utility Mapping respects your privacy and are diligent in protecting your personal data and information.
WHAT IS PERSONAL INFORMATION AND WHY AND HOW DO UTILITY MAPPING COLLECT IT?
Personal Information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. Typically, Utility Mapping will collect Personal Information from, and about its customer’s users, contractors and users of the Utility Mapping website, as well as job candidates and employees.
Examples of Personal Information Utility Mapping collect include:
- names (first and last names)
- the organisation you are working for and your role in the organisation
- contact phone number (work / mobile / personal), email address (work / personal)
- your location (based on your device’s GPS – latitude and longitude
- photographs and / or images from which you can be identifiable by e.g. face, place, features
- documents and / or media with eg names, initials, contact numbers
- your user account and login details
- project details including signatures
- dates and project names.
We collect your Personal Information in different ways including:
- When you enter your details into Utility Mapping fields
- When a third party enters your details into Utility Mapping fields
- Through project and account set up processes
- When you use UMAPP, our end-to-end Ground Penetration Permit System
- In data, media, documents, and information obtained from our requested access to cameras on your devices, location (GPS) or storage (Gallery and / or documents)
Where reasonable and practicable to do so, Utility Mapping will collect your Personal Information only from you. However, in some circumstances we may receive information from third parties. When we do, we will take reasonable steps to ensure that you are made aware of the information they provide to us. Their own privacy policies and statements will also apply to their collection and disclosure of your Personal Information. We use Google Play (for statistics and analytics reporting), Apple Developer Program (for statistics and analytics reporting) and MapBox & OpenStreetMap (for GPS location). Utility Mapping may also use and disclose your Personal Information for other related purposes you would reasonably expect in the circumstances. When Utility Mapping collect Personal Information, we will, where possible, explain to you why we are collecting the information and how we plan to use and disclose it. If Utility Mapping intends to use your personal information for any other purposes, we will contact you first and seek your consent.

Utility Mapping may disclose your Personal Information for the purposes of providing services to our clients and managing access to our solutions.
DIRECT MARKETING
Utility Mapping may use your Personal Information to send you marketing and promotional communications through channels such as email and SMS. You can opt out at any time by contacting us on the details below or by following the unsubscribe link provided in the communication.
USE OF COOKIES AND TAGS
When you visit our website, Utility Mapping may use ‘cookies’ or other similar tracking technologies to help us track your website usage, pages viewed and remember your preferences. They enable us to recognise your use across different websites, services, devices and/or browsing sessions. DATA SECURITY
Utility Mapping implement security measures designed to safeguard and protect your Personal Information we collect and store. We restrict access to your Personal Information on a need to know basis, based on our instructions and subject to confidentiality obligations. Our technology security measures include encryption, firewalls and secure socket layer (SSL).
STORAGE AND RETENTION
Your Personal Information is stored in both digital and hard copy formats and subject to reasonable physical, electronic and procedural measures to safeguard it.
We use third party providers to host our data in Australia, including Personal Information. They may need to back up this information outside of Australia for security and availability purposes.
Utility Mapping will only retain Personal Information for as long as reasonably necessary to fulfill the services and purposes Utility Mapping collect it for, including legal, accounting, or reporting purposes.
When your Personal Information is no longer needed for any permitted purpose, Utility Mapping will take reasonable steps to destroy or permanently de-identify your Personal Information, subject to our legal retention obligations.
Most of the Personal Information we collect is or will be stored in customer files, which will be kept by us for a minimum of 7 years, or an amount of time as specified by our customers.
YOUR RIGHTS: access to and correction of your personal information
You may request access to the Personal Information Utility Mapping hold about you, subject to certain exceptions. You can also ask us to update and/or correct your Personal Information. To make an access or correction request in relation to your Personal Information, please contact us in writing using the details below. Utility Mapping will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information. To protect your Personal Information, Utility Mapping may require identification from you before releasing or correcting the requested information. If we refuse your request, we will explain our reasons to you in writing.
MAINTAINING THE QUALITY OF YOUR PERSONAL INFORMATION
It is important to us that your Personal Information is up to date. Utility Mapping will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information Utility Mapping have is not up to date or is inaccurate, please advise us as soon as practicable so Utility Mapping can update our records and ensure Utility Mapping can continue to provide quality services to you.
